AEMG’s Academic Affairs Division

The Academic Affairs division leads the overall design, delivery and quality assurance of AEMG’s academic programs. It oversees academic operations, student experience, and partner academic engagement, ensuring programs meet both internal and external academic and compliance standards. The Academic Affairs Division consists of the following departments:

Registrar Office

The Registrar Office oversees academic records, student registration, timetabling and course progression, ensuring academic administration aligns with partner university standards and regulatory compliance.

Cloud Campus

Cloud Campus is AEMG’s digital academic platform, supporting both online program delivery and integrated academic operations. The department is responsible for system development, digital pedagogy, platform support, content management & delivery.

Academic Operations

Academic Operations manages the implementation and coordination of academic programs across delivery locations, ensuring high-quality teaching, learning outcomes and alignment with global partner requirements.

Student Success

The Student Success team supports the learning journey and wellbeing of AEMG students through academic guidance, engagement initiatives and pastoral care, with a focus on retention, satisfaction and outcomes.

Graduate Institute

The Graduate Institute focuses on supporting graduates from AEMG programs. It builds alumni networks, develops pathways to further study or employment and facilitates transition into global opportunities.

Registered Training Organisation

The RTO division is a nationally recognised training body responsible for the delivery of vocational education and training (VET) programs. It ensures compliance with ASQA standards and industry requirements.

Quality & Compliance

The Quality & Compliance team ensures academic and regulatory compliance across all education delivery, managing audits, policy standards, partner agreements and risk controls to maintain academic integrity and accreditation.

About the Position

The Academic Records Manager plays a central role in supporting students throughout their academic journey while operating as part of the Registrar’s Office. This role acts as a key contact for student enquiries, provides frontline academic and administrative support and contributes to the accuracy of student records, results and progression data. The Student Liaison Officer supports onboarding, data entry, student communication and project coordination, while ensuring alignment with partner university standards and compliance requirements in collaboration with the Registrar, Academic Operations and Student Success teams. 

Key Responsibilities

 1. Student Communication & Support 
•Act as the first point of contact for student enquiries, concerns and general information within the Registrar office. 
•Provide timely, accurate and student-focused advice in person, via email, phone and digital platforms. 
•Support communication efforts around key academic dates, progression notices and support services. 
•Maintain consistent communication with students to support their academic and personal wellbeing. 

2. Academic Records & Results Administration 
•Input and maintain student grades, progression status and results in the Student Management System. 
•Assist with checking, updating, and verifying student records in line with partner university and compliance standards. 
•Support the Registrar in preparing and analysing academic data reports and result summaries. 
•Ensure confidentiality and data accuracy in all student recordkeeping activities. 

3. Study Worldwide & Project Support 
•Assist in the administration of the program Study Worldwide and other student mobility initiatives. 
•Support project logistics, data preparation and communication tasks across registrar-led 
 activities. 
•Contribute to planning and delivery of initiatives that enhance the student experience. 

4. China Learning Centre (CLC) & Project Support 
•Assist in the administration of the program CLC and other student mobility initiatives. 
•Support project logistics, data preparation and communication tasks across registrar-led 
 activities. 
•Contribute to planning and delivery of initiatives that enhance the student experience. 

5. Course Progression & Registration 
•Assist with student enrolments, registration updates and course progression tracking. 
•Liaise with Academic Operations and Cloud Campus teams to ensure accurate scheduling and subject loads. 
•Flag academic concerns and anomalies in progression for Registrar review. 

6. Academic Liaison & Referrals 
•Liaise with academic teams to relay student concerns and support needs. 
•Coordinate referrals to appropriate internal support services.  
•Monitor follow-up actions to ensure student needs are addressed. 

7. Records, Reporting & Compliance 
•Maintain accurate records of student interactions and support accordingly. 
•Assist in preparing reports on student trends, concerns and engagement outcomes. 
•Ensure confidentiality and adherence to privacy and data policies. 

8. Cross-functional Collaboration 
•Work closely with Registrar, Academic Operations, Cloud Campus and BD & Engagement teams to support students. 
•Participate in events, expos and webinars representing the student support function. 
•Support communication strategies aimed at increasing student awareness of available services. 

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Education, Legal, Compliance or a related field.
  • Minimum 5 years’ experience in higher education management and administrative coordination roles.
  • Strong understanding of higher education, student support and operational support processes.
  • Advantage of understanding the Chinese Higher Education.
  • Excellent interpersonal, written and verbal communication skills.
  • Proactive and highly organised with strong attention to detail and the ability to prioritise multiple tasks.
  • Demonstrated ability to work collaboratively with cross-functional and international teams.
  • Proficiency in Microsoft Office Suite, particularly Excel, and financial management software.
  • Knowledge of international education or regulatory environments (desirable but not essential).
  • Mandarin proficiency or cross-cultural fluency is an advantage.
