ABOUT THE ROLE
AIFE is seeking a dynamic Deputy Registrar to support the Chief Registrar and lead the Registrar’s Office in delivering high-quality academic and student services. This role is ideal for someone with strong experience in higher education administration, compliance and student lifecycle management.
You’ll oversee student records, enrolments, academic progress, international admissions and regulatory compliance. You’ll also play a key role in digital transformation, stakeholder engagement and continuous improvement initiatives that enhance the student experience and institutional operations.
KEY RESPONSIBILITIES
Student Administration
Lead workflows across enrolments, records, deferrals, completions, and graduations
Supervise the Administrative and Admissions team and student management systems
Ensure timely and compliant processing of student data
Drive service efficiency and student experience improvements
Academic Governance & Compliance
Support academic committees and compliance monitoring (TEQSA, ESOS, CRICOS)
Assist in audits, reporting, and policy development
Maintain integrity and security of academic data and records
Leadership & Staff Development
Provide training, mentorship, and supervision to Registrar Office staff
Foster a collaborative, student-focused culture
Contribute to workforce planning and professional development initiatives
Systems & Process Innovation
Manage student management systems and associated databases
Identify and implement process improvements and digital transformation initiatives
Stakeholder Engagement
Liaise with internal teams, academic staff, and senior leadership
Represent AIFE in meetings with regulators, partner institutions, and government agencies
KNOWLEDGE, SKILLS AND CAPABILITIES
Essential
Tertiary qualification and/or significant experience in higher education administration
Strong knowledge of student lifecycle, compliance, and academic governance
Proven leadership and team management skills
Excellent communication, problem-solving, and interpersonal abilities
High attention to detail and data integrity
Proficiency in SMS platforms, databases, and Microsoft Office
Desirable
Experience with international student compliance (ESOS, CRICOS)
Familiarity with Salesforce and digital transformation initiatives
Bilingual (Mandarin) capabilities
Project and change management experience
